Case Study: Paperless Attendance Tracking for a Large Vacation Bible School

The church hosts a large Vacation Bible School serving more than 200 children. Attendance needed to be tracked daily across multiple groups—but the existing process relied entirely on paper:

• Printed attendance sheets for each group

• Manual distribution and collection of papers

• Hand-entering attendance into a spreadsheet

• Daily roster changes as new children registered throughout the week

With kids enrolling every day, there wasn’t time to reprint updated rosters or manage last-minute changes. Group leaders and the registration team needed a faster, real-time solution that worked in the moment—not after the fact.

Rather than introducing a brand-new system, I designed a solution using tools the church already knew and trusted.

I organized the registration data in Google Sheets and synced it with Google Forms, using a Form Manager plugin to dynamically populate group rosters. The form was streamlined with conditional logic so each group leader only saw their own group’s list.

Each day:

• Group leaders scanned the same QR code

• Selected their group

• Marked attendance for their roster

• Submitted the form

Attendance was instantly recorded and available to the registration director in real time.

Training was minimal—leaders only needed to know how to scan a QR code and submit a form.

The new system made a noticeable difference right away:

• No more paper to print, distribute, collect, or store

• Accurate, real-time attendance even as rosters changed daily

• Less juggling for group leaders and the registration team

• Clear confidence in knowing exactly who was present each day

Leaders could focus on the kids—not paperwork—and the registration director no longer worried about missing or outdated attendance records.
